FMCSA Safety Audit: What New Trucking Companies Need to Know

If you're new to the trucking industry and just received your DOT number, you're likely required to complete the FMCSA New Entrant Safety Audit. At All Permits Trucking, we help you understand what this audit involves, what documents are required, and how to prepare to pass it smoothly and avoid fines or authority revocation.

What Is the FMCSA New Entrant Safety Audit?

The New Entrant Safety Assurance Program is a mandatory review by the Federal Motor Carrier Safety Administration (FMCSA) for all newly registered motor carriers within their first 12 months of operation.

The purpose is to ensure your company complies with federal safety regulations before receiving permanent operating authority.

What Does the Safety Audit Include?

The audit reviews whether you are following federal safety standards in areas such as:

  • Hours of service (HOS)

  • Drug and alcohol testing programs

  • Vehicle maintenance and inspections

  • Driver qualification and hiring records

  • Valid insurance policies

  • Accident reporting and handling

The audit may be conducted remotely or on-site, typically between 3 to 12 months after your authority becomes active.

What Happens After the Audit?

  • If you pass the audit, you receive permanent operating authority.

  • If you fail, your operating authority (MC number) may be revoked, meaning you’ll be prohibited from operating until you correct the issues.

Documents You Must Have Ready

To successfully pass your audit, have the following documents organized and up to date:

  • ELD logs or hours-of-service records

  • Drug and alcohol testing program enrollment and results

  • Vehicle maintenance records

  • Daily and periodic vehicle inspection reports

  • Driver motor vehicle records (MVRs)

  • Driver qualification files and hiring documentation

  • Valid insurance policy documents

  • Accident reports and corrective actions (if applicable)
